About you

As an Assistant Property Manager, you will be involved in all aspects of managing a commercial building – from operations and financial activities to managing important relationships with our tenants and property owners. From managing service contracts and tracking bid packages, to completing property inspections and making recommendations, you’ll have the opportunity to share your innovative ideas to continually improve how we manage our commercial properties.


In this role, you will…

  • Establishes and maintains strong and positive relationships with all tenants, vendors, contractors and internal teammates.

  • Assist with the collection of rent, reviews monthly rent statements, prepares tenant bill-back charges, collects past due charges, prepares AR reports for owners.

  • Secures bids for ongoing building maintenance, prepares service contracts, coordinates work, tracks progress and reports status to property manager.

  • Codes invoices for payment and processing ensuring compliance with a complicated matrix of account codes.

  • Assists in completing regular inspections of properties and recommends alterations and/or maintenance of the property and oversees work as necessary.

  • Assists in the preparation of monthly reports for review and approval by Senior Property Manager.

  • Assists in budget preparation for review and approval by Senior Property Manager.

  • Serves as liaison between tenant and Senior Property Manager and responds to tenant needs in a timely basis to meet lease obligations.

  • Monitors and track tenant service requests and dispatches vendors as needed.

  • Monitors tracking of vendor and tenant certificates of insurance expiration dates, requests renewals and ensures compliance with standard coverage terms and conditions.

  • Assists with coordinating tenant move-ins, prepares welcome letters, collects and reviews insurance, collects emergency contact information, manages transition of utilities, drafts commencement letters.

  • Assists with coordinating tenant move-outs, manages transitions of utilities, assists property manager with move out packages, prepares tenant bill backs for any final charges.

  • Reviews security reports and coordinate as necessary.

  • Maintains property emergency books and tenant files.

  • Other duties as assigned.


What you’ll bring

  • Must possess a real estate license (where applicable).

  • 2-4 years related work experience in property management.

  • Commercial real estate accreditation such as CPM or RPA will be an asset.

  • Computer proficiency in MS Office (Outlook, Word, and PowerPoint) and especially strong skills in Excel.

  • Excellent client relations skills both with owners and tenants.

  • Excellent organizational, prioritization and communications skills.

  • Able to work under pressure, deal with multiple deadlines, effectively handle stressful situations and work with minimal direction/supervision.

  • Valid Driver’s license.
